The Calibration Support Coordinator applies comprehensive technical knowledge to provide logistics management services for the Precision Measurement Equipment Laboratory (PMEL).
Essential Duties:
• Responsible for completing the Material Control, Scheduling, Shipping, and Supply functions within the PMEL.
• Responsible for scheduling all incoming TMDE as outlined in TO 00-20-14 and the PWS.
• Manages the shipment of TMDE to and from off-base customers. Prepare documentation for TMDE to be shipped on/off base through Transportation, Supply, and other shipping carriers. Logs all Shipping/Receiving transactions in PAMS. Coordinates with the Transportation Management Office (TMO) for shipment and pickup.
• Create and maintain computer generated or manual forms and control logs for parts and equipment requests related to PMEL.
• Monitors TMDE in delayed/deferred statuses daily. Perform and record follow-ups within established timelines.
• Monitors projected workload. Advises the PMEL Manager of significant increases or deviations from monthly schedule.
• Takes necessary actions to minimize overdue TMDE.
• Performs the TMDE Coordinator training program.
• Provides pick-up & delivery service on base as required by the PWS.
• Responsible for ordering and tracking parts required to repair TMDE supported by the PMEL and notify customer of TMDE in a delayed status.
• Performs duties of the PMEL TODO.
• Research parts and equipment requests utilizing available resources prior to submission to base supply.
• Maintain and monitor equipment storage areas.
• Operate and use PMEL Automated Management System (PAMS) to record parts requests and update the status of TMDE. Maintain the supply logs (parts and shipping), update the status of parts requests, log received parts and change TMDE statuses.
• Monitor and control the PMEL bench stock. Add and delete parts from stock as required. Ensure parts in stock do not exceed their shelf life, and pilferable items are properly marked and controlled.
• Organize and control the work center shop stock. Assign bin numbers, place property in bins, and prepare inventories for laboratory technicians.
• Process proper paperwork to ensure issuance of kits for the performance of Time Compliance Technical Orders (TCTO).
• Control the PMEL Hazardous Waste Management program using EMIS. Function as the primary point of contact between PMEL and the Base Hazardous Waste Management program. Obtain (Material) Safety Data Sheets (MSDS/SDS) and maintain a file for use of the laboratory technicians. Prepare proper documentation for required chemicals.
• Monitor and control the PMEL Satellite Accumulation Points. Accept hazardous material and place it in the bins as required. Maintain records and logs for property. Turn material into RIPL when sufficient amount is accumulated.
• Monitor and control the PMEL Precious Metals Program. Turn precious metals in to supply when sufficient quantities have been accumulated.
• Prepare monthly and TMDE calibration schedules and distributes to owning work center (OWC) for review and approval. Publish revised schedules as required.
• Inspect, perform user maintenance, and drive Company owned vehicle.
• Visually inspect TMDE at OWC, note condition, and ensure all hardware and required technical data/documentation accompanies TMDE. Store TMDE in designated PMEL area.
• Communicate with various depots and PMELs to plan, schedule and coordinate the outside repair/calibration support of TMDE. Prepare TMDE for shipment, arranges transportation, monitors progress, and maintains a complete audit trail. Advise OWC of available TMDE substitute/replacement to minimize/prevent interruption of base operations.
• Review manpower, equipment, and parts/material availability and communicates with PMEL Manager to advise and recommend adjustment to PMEL repair/calibration schedules and priorities.
• Use PAMS and proper code format to input a variety of timely and accurate data to maintain status of the TMDE Master ID file.
• As required, instruct TMDE Monitors in TMDE repair/calibration procedures. Maintain records of this training. Maintain TMDE storage area.
• Process equipment received from off-base calibration and maintenance.
• The Support Services Clerk may be required to perform other related duties to meet the ongoing needs of the organization.
Supervisory Responsibilities
Position has the responsibility and authority to carry out assigned tasks. No supervisory responsibilities assigned.
Desired Knowledge, Skills & Abilities:
• Familiar with of all facets of the US Air Force Metrology and Calibration Program with respect to local operations.
• Beginner to intermediate computer skills specifically using Microsoft Office Suite; ability to learn additional computer skills or software programs. Working knowledge of advanced software applications is preferred.
• Ability to use the PMEL Automated Management System to ensure accurate data entry.
• Ability to understand and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
• Ability to generate routine reports and correspondence
• Excellent interpersonal skills are necessary to work effectively and cooperatively with customers and all levels of management and staff. Will also routinely interact with other crew members.
