Job Summary:
The Repair Administrator provides clerical support for all repair orders. This position is responsible for providing all appropriate paperwork for each repair and communicating issues to management that can delay or prevent meeting a customer deliverable.
Essential Functions:
- Issue RMAs per customer request.
- Receive all incoming RMA, reviewing all details for accuracy (SN, model, contract info and RMA number) Generating Return Unit evaluation paperwork.
- Creates using Oracle Service Depot, work order and job traveler with all appropriate paperwork- including ECN’s.
- Tracks Repair job status and shortages needed for completion.
- Maintain the In-house report for communication to VSM and CAM
- Interacts with CAM and or PM’s daily providing information to be communicated to customers.
- Maintains and compiles all paperwork required for retention scanning into document control center.
- Interact with Quality Assurance Rep/Government source inspector.
- Communicate and interact with internal quality team resolving corrections or discrepancies with RMA units.
- Complete all applicable shipping paperwork for the shippers, including applicable government required paperwork, Assembly of shipping packet, including any additional customer requirements.
- Creates import/export paperwork as required.
- Creates out of warranty FACAR- submits for approval.
- Interface with internal support organizations and VSM to assure requirements are met with respect to improving business metrics (OTD, TAT, etc.). Manage and understand shortages, working with necessary support areas to fill shortages and coordinate with CAM for new delivery dates.
- Assist CAM and finance to resolve invoicing issues including past due invoices and creating credit memos.
- Supports team with return history research as requested.
- Any other task assigned by your supervisor or management.
Non-Essential Functions:
- On a limited basis, may act as back-up to CAM for communication to customer on status of the returned unit.
- Take an active role in the improvement for the Organization, including participation in the company sponsored Continuous Improvement Activities as well as other training opportunities.
Minimum Qualifications:
- Experience: Administrative capabilities required
- Knowledge: General Working Knowledge of Microsoft Office (Word, Excel, Access); Familiarity with Oracle operating system highly desirable; Excellent verbal and written communication skills; Ability to delegate duties to hourly employees in absence of VSM
- Skills: General internet skills with knowledge of Internet commerce
- Detail oriented for all paperwork tracking and accuracy.
- Abilities: Demonstrated ability to interpret customer purchase orders, contracts or other contractual correspondence; Demonstrated ability to prioritize and make decisions in a timely and appropriate manner; Ability to manage across functional interfaces; Ability to maintain composure under stress; Ability to work as a team player within the customer service team
- Education/Certification: High School Diploma
- Ability to acquire CAV (Commercial Asset Visibility)
- Eligibility Requirement: This position requires access to controlled data or information and therefore only US persons will be considered. As a US Department of Defense contractor, we are bound by the International Traffic in Arms Regulations (ITAR). Applicants selected could be subject to a Government security investigation and must meet the eligibility requirements for access to classified information.
