Job Summary
The IT Operations Administrator supports IT Operations by providing administrative support by assisting the IT department with preparation of invoicing, Administrative Action documents and budget responsibilities.
Here is how the IT Operations Administrator will help:
IT Finance/Budget:
- Organize and maintain department’s Operational & Financial budgets.
- Monitor all IT contracts and services for needed administrative actions.
- Develop administrative action content and forms for submission.
- Enter administrative actions into DocuSign for CEO and Board approvals.
- Update IT budget with monthly actuals from Finance and report budget position.
- Process all IT invoices in accordance with ACAA finance guidelines; and
- Manage the overall IT budget tracking process and tools and revise/improve as required.
- Manage contracts and relationships with IT vendors, ensuring cost-effective procurement of IT services and products.
- Ensure all financial operations comply with company policies, accounting standards, and relevant legal regulations.
IT Metrics/KPI’s:
- Overall responsibility for IT KPI reporting.
- Analyze financial data to identify trends, variances, and opportunities for cost savings or efficiency improvements.
- Provide monthly IT status reporting.
IT System Support:
- Support project managers with project reporting and scheduling.
- Ensure critical support processes are documented per IT standards
- Act as tester for testing of IT systems being deployed.
- Performs other related tasks as assigned or required.

Qualifications
The following requirements list the minimum education/training/experience required to qualify for this job. An equivalent combination of education and/or experience may be accepted.
The qualifications to apply for role of IT Operations Administrator are:
- Bachelor’s degree from an accredited college or university in information systems, computer science or equivalent experience.
- (3) years’ experience with business analysis and process improvement concepts.
- Strong business acumen and ability to build solid relationships with business partners, documenting requirements and guiding them on the value of IT applications.
- Deep understanding of business processes, and ability to collaborate with cross-functional teams building solid relationships, documenting requirements, and guiding them on the IT business applications, understanding and hands on support, development, and configuration of IT business applications. Preferred experience managing and implementing SaaS solutions.
- Experience with ITIL, Service Now, and/or Content Creation platforms beneficial but not required.
- Possess or obtain prior to employment a valid Pennsylvania Class C driver’s license. Note: license must be maintained throughout employment.
