Position Summary
MAG Aerospace is seeking a self-starter Front Office Administrative Assistant, for the ATHENA-R Program. Under the supervision of the Site Manager, this position will organize and coordinate office administration and procedures, for the purpose of ensuring organizational effectiveness and safety. The Front Office Administrative Assistant is responsible for developing intra-office communication protocols, streamlining administrative procedures, front office supervision and office task delegation. Position requires an energetic professional with experience in handling a wide range of administrative and executive support related tasks. Must be well organized, flexible and have experience working in an environment of military and civilian personnel. The Front Office Administrative Assistant will work closely with Corporate HR and other corporate departments to ensure all deployers are properly trained and prepared for deployments to the Theater of Operations and ensure that all site personnel matters are responded to professionally and in compliance with the company protocol. Front Office Administrative Assistant will act as the OCONUS HR Manager and reports directly to the Forward Operations Lead. This is a fulltime OCONUS position.
Essential Duties and Responsibilities

- Responsible for the submission of 700-19 packets to U.S. Forces Korea.
- Managing new hires / TDY’s briefing to South Korea. (Housing, Car, Korean Driver ’s License, etc.)
- Assist with background screenings, per-employment drug testing as requested.
- Provides and trains new employees on OCONUS requirements.
- Manage and maintain Executive Leadership calendar.
- Designated as an Approval Subordinate for the Forward Operations Lead for timecard approvals, Travel Authorization Requests and Expense Report approval for staff.
- Perform office duties such as ordering supplies, answering phones and event scheduling.
- Arrange and attend staff meetings and follow up as necessary.
- Responsible for maintaining financial records local petty cash budget and the preparation of financial reports and spreadsheet.
- Monitor, manage and improve the efficiency of key support services such as IT while facilitating coordination and communication between cross-function support.
- Engage with employees on in-office conflicts, and report employee complaints as needed with senior management.
- Manage the resolution of conflicts or complaints from customers and employees.
- Record/track program action items and suspense dates for events such as meetings, reviews, working groups, and audits.
- Responsible for configuration control of electronic document routing for all correspondence requiring leadership’s review, approval, and signature.
Requirements
Minimum Requirements
- Fluent in the Korea language (verbal and written)
- 5 years of administrative experience with DoD
- 5 - 10 years of administrative experience strong organizational, verbal, and written communication skills
- Ability to prioritize and process information and requests from external and internal personnel
- Attention to detail and deadlines as well as strong critical thinking skills
- Detailed experience with Microsoft Word, Outlook, Excel, PowerPoint, and SharePoint
- Must be proficient with Microsoft Office Suite, possess acquisition and data analysis skills and have acquisition/analysis related experience.
Education
- High School Diploma or GED is required
Clearance
- DoD Secret Clearance required
